Trade Show Vendor Information

This year's Trailbuilders Trade Show is optimized for vendors
This year's trade show runs on Wednesday and Thursday during the WTBA Trailbuilders Conference. This is the only trade show in the nation dedicated to trailbuilders and trailbuilding technology. And this year, we have an outdoor demo area with real dirt for equipment demonstrations.

Prime indoor exhibit space
Indoors the Ballroom Terrace (shown in gold on the map below) has 4.080 sq. ft. with a ceiling height of 10'. Designed for exhibitions, it's central to everything. The space has four doors to outside corridors and two doors each into two of the three main conference meeting rooms (Rooms D and E). People coming to and from the meeting rooms will often pass through the exhibit area since that is the shortest path. The Ballroom Terrace will be locked at night so that you can leave your booths and materials overnight.

Outdoor demo area in the dirt
You can also have outdoor equipment demo area in an unfinished parking lot next to the hotel. There will be ample time for you to spend one-on-one with attendees. The outdoor demo area is across the indoor Sky Terrace bridge (not shown on map below) on the west side of S. Virginia Street, next to an Outback Steakhouse restaurant. Weather is generally favorable for this — see typical Reno weather for this time of year.

The demo area is a disturbed area (i.e., no vegetation) and a future construction zone. You can do anything reasonable to the demo area as long as you put it back to some semblance of what is was when you arrived. Photos as of Dec. 18:

* All attendees have these lunches included in their registrations, so at lunchtime, all attendees will be eating together. You might as well join them.
** Many vendors choose to attend the Banquet because it's a relaxed atmosphere with good networking time.

What to bring for staffed booths
This is a standard trade show in a hotel setting. The table and chairs will be provided, but the booth is simply open at the sides and back (no fabric walls). Electricity can be provided.

If you have any samples of your products, please bring them. For those of you who are selling bridges, structures, and other products too large to bring, please bring samples of the structural members, photos, etc.

Shipping your materials for unstaffed booths
If you’re reserving an unstaffed booth, please ship your materials directly to the conference hotel such that they arrive about Feb. 7, or Feb. 11 at the latest. The address is:

Setup and breakdown times
You can begin booth setup as early as 5 PM Tuesday evening, or you can set up Wednesday morning between 7:00 and 10:30 AM.

The Trade Show runs from 10:30 AM – 4 PM on Wednesday, Feb. 12 and from 9 AM – 3 PM on Thursday, Feb. 13.

Breakdown is from 3 – 11 PM on Thursday.

Package and freight shipping to Atlantis (this info is straight from the hotel)
All packages should be addressed to:

    Hold for: Guest Name, Group Name ("Western Trailbuilders Association"), Arrival Date

Please advise the Business Center (775-954-4144) of the number of packages being shipped and the method of shipping. The hotel will not be responsible for packages that are not addressed as stated above or packages that are lost or damaged in shipping.

A handling fee will be charged for all incoming and outgoing packages. Packages will not be accepted more than seven days prior to a group's arrival. Packages weighing more than 70 pounds cannot be accepted unless prior arrangements have been made.

Arrangements for shipping of boxes after a group's departure must be made with the Business Center prior to departure. Boxes left at the hotel without arrangements for shipping will be disposed of seven days after group's departure.

Receiving dock hours: Monday–Friday 7 AM – 3 PM, Saturday–Sunday 7 AM – 11 AM.
Business Center hours: Monday-Friday 7 AM – 6 PM, Saturday 10 AM – 2 PM.
