The Trailbuilders Trade Show is optimized for vendors
The 2008 show runs on Wednesday and Thursday (March 12 and 13) during the PTBA Trailbuilders Conference. This is the only trade show in the nation dedicated to trailbuilders and trailbuilding technology. We also have an outdoor demo area with real dirt for equipment demonstrations. Some attendees come primarily for the trade show. We've used Atlantis and the same outdoor site for the past four years so we know all about it.

Prime, high-traffic, high-visibility indoor exhibit space
Indoors the Ballroom Terrace (shown in gold on the map below) has 4.080 sq. ft. with a ceiling height of 10'. Designed for exhibitions, it's central to everything. The space has airwalls and doors to outside corridors and two doors each into our main conference meeting rooms (Rooms D and E). People coming to and from the meeting rooms will often pass through the exhibit area since that is the shortest path. Informal networking and general conversations also take place in the trade show area.

Outdoor demo area in the dirt
You can also have outdoor equipment demo area in an unfinished parking lot next to the hotel. There will be ample time for you to spend one-on-one with attendees. Vendors typically allow attendees to operate equipment. The outdoor demo area is across the indoor Sky Terrace bridge (not shown on map below) on the west side of S. Virginia Street, next to an Outback Steakhouse restaurant. Weather is generally favorable for this — see typical Reno weather for this time of year.

An outdoor demo area next to the hotel enables all participants to demo trail equipment in field conditions. The hotel is in the background. In the right photo, the pyramid-shaped structure behind the operator's head is the indoor Sky Terrace bridge across the four-lane South Virginia St.

The demo area is a disturbed area (i.e., no vegetation) and a future construction zone. You can do anything reasonable to the demo area as long as you put it back to some semblance of what is was when you arrived:

About Staffed Indoor Booths
We provide a 6x3' folding table with cloth skirting and chairs, but the booth is simply open at the sides and back (i.e., no fabric walls). You're encouraged to bring your own displays, including backwalls.

Electricity is available at no extra charge. Please let us know in advance if you need juice.

Oversize booths: If you have a larger display or need additional floor space to show equipment or large items, we can accommodate you. Trail-scaled equipment on rubber tracks, as well as small trailers and items that can fit into a freight elevator to the second floor, are welcome indoors but we can't run internal combustion engines indoors. Please sign up for an oversize booth and let us know your space needs in advance.

If you have any samples of your products, please bring them. For those of you who are selling bridges, structures, and other products too large to bring, please bring samples of the structural members, photos, etc. Our attendees are interested in detailed information. There's also room in the outdoor demo area for equipment and structures of any size.

The floor is carpeted and the trade show area has columns faced with mirrors. Ceiling height is 10'. Lighting is from high-intensity track-mounted spotlights and recessed fixtures. In this dramatic atmosphere, providing lighting adds punch to your booth.

Atlantis' Business Center (for convenient package pickup and other services, see below) is right next to the trade show area.

About Unstaffed Indoor Displays
We'll arrange your display and literature on 6x3' tables with 2 or 3 vendors on the same table. We intersperse the unstaffed tables among staffed tables to help eliminate "dead spots."

About the Outdoor Demo Area
Materials: Uniquely, we can furnish materials such as rocks, logs, brush, etc. needed to demonstrate equipment or tools. We can also haul away these materials afterward. Please make prior arrangements with us if you need special materials. Dirt and asphalt millings are already onsite and we can dig and move it as long as it we put it back by the end of the show. We can also install and remove "hardened" soil and other trail surface treatments. Note that we must restore the area to its approximate pre-show state before leaving and we need your help and equipment to do so!

Amenities: As in the field, there aren't any tables, chairs, restrooms, electricity, shelter, food, drink, etc. in the outdoor area. All of these, however, are available in the nearby hotel. There's also a small shopping center with a medium-sized grocery store across the street from the demo area. We suggest that you bring your own coffee, etc. for those colder times. The nearest restrooms are inside Atlantis near the end of the Sky Terrace bridge. We expect you to come in for lunch since lunch is included in registration for all attendees as well as outdoor vendors.

Traffic: In past years, the outdoor demo area has drawn steady traffic throughout the day (over 100 people visited at it's height in 2007). This lets you work with individuals and let them try out equipment individually.

Weather and Ground Conditions: Reno is usually fairly dry and warm in winter, but March can be unpredictable. Reno webcams showing current ground conditions in Reno, plus normal Reno weather during the Trade Show.

Trade show schedule, dedicated time, and setup/breakdown
Schedule: The Trade Show runs 8 AM - 5 PM Wednesday, March 12 and 9 AM - 2 PM Thursday, March 13. Due to chilly mornings, outdoors starts at approx. 9 AM both days. Both indoors and outdoors, you're welcome to be present earlier or later as desired, and you can be absent whenever desired.

Dedicated trade show time: We set aside times on Wednesday morning and afternoon during which we schedule only a limited-interest session in order to provide everyone ample time to visit the trade show.

Setup: Indoors, you can set up from 3 PM - 10 PM Tuesday and/or Wednesday morning from 7 - 8 AM. Since the conference begins at 8 AM each day, attendees will be around considerably before 8 AM on both Wednesday and Thursday. Outdoors, you can set up anytime Tuesday or Wednesday morning before 9 AM.

Breakdown: Indoors, breakdown is from 2 - 11 PM on Thursday. Everything must be out by 11 PM Thursday unless specifically arranged with Atlantis. Outdoors, the demo area should be cleared by the end of Friday.

Trade show security
Indoor trade show: The Ballroom Terrace (trade show area) has airwalls and will be locked at night so that you can leave your booths and materials overnight. However, we encourage you take high-value resale items (such as laptops) with you when you leave for the day. The Ballroom Terrace will be locked from 10 PM Tuesday to 7 AM Wednesday, and from 6:15 PM Wednesday to 7 AM Thursday.

Outdoor Demo Area: Hotel security guards will sweep the demo area on their normal rounds but no other security is provided. The demo area is in a low-traffic area between Atlantis' far (paved) parking area and the backyards of local homes, and across a two-lane street from a small "strip mall" shopping center. The east and south sides are open to the parking area and the two-lane street, respectively, but the west side is screened from the homes by a thin line of brush (leafless in March). It's lighted by overflow light from the parking area and its light poles. The north side abuts an Outback Steakhouse restaurant. See photos above and here for demo area configuration.

Please advise the Business Center (775-954-4144) of the number of packages being shipped and the method of shipping. The hotel will not be responsible for packages that are not addressed as stated above or packages that are lost or damaged in shipping.

A handling fee will be charged for all incoming and outgoing packages. Packages will not be accepted more than seven days prior to a group's arrival. Packages weighing more than 70 pounds cannot be accepted unless prior arrangements have been made.

Arrangements for shipping of boxes after a group's departure must be made with the Business Center prior to departure. Boxes left at the hotel without arrangements for shipping will be disposed of seven days after group's departure.

Receiving dock hours: Monday–Friday 7 AM – 3 PM, Saturday–Sunday 7 AM – 11 AM.
Business Center hours: Monday-Friday 7 AM – 6 PM, Saturday 10 AM – 2 PM.
